## The system

It places, without clashes, the classes your institution has already defined.

- It starts from what you have already defined: groups, courses and their hours, assigned teachers, rooms and shifts.
- It generates the weekly timetable in minutes once the data is loaded.
- It checks rules such as teacher availability and qualifications, room type, consecutive blocks and per-semester hour limits.

### Who it is for

For high schools, private or public, organized in fixed groups and semesters, with one or several campuses and shifts. It does not yet generate per-student timetables, like those at many universities.

## How does it work?

1. **Prepare your data** In a template, record the groups, the courses and their hours, the teachers with their availability and qualifications, which teacher teaches each course in each group (or let the system propose one), and the rooms.
2. **Load it into the system** Once the data is loaded, the system generates the academic timetables. You review the result and, when you are happy with it, publish it.
3. **Export and adjust your timetables** Get your timetables as PDF and as editable Word documents, per group, teacher and room: each page has the subjects table with teacher and hours, the weekly grid and the room. Adjust them to your institution's needs.

Gathering the data is what takes time; generating the timetable takes minutes.

## The problem it solves

Building timetables by hand, or in a spreadsheet, gets fragile as campuses, shifts and groups grow. What usually happens:

- **Clashes found late.** A teacher, a group or a room in two places at once.
- **Every change snowballs.** A new teacher or a room out of service forces much of the timetable to be redone.
- **Weeks of back-and-forth.** Between coordinators, teachers and management to reach an acceptable version.
- **Overloaded specialist rooms.** Laboratories, workshops and computer rooms fill up because nobody sees the whole picture.
- **Hours over contract.** Teachers with more hours than their contract, noticed only after the timetable is published.
- **No idea why it will not work out.** Hours are missing, a teacher has no availability or a room is not enough.

## Benefits

It reduces the work of building the timetable and shows you what is limiting it.

### Value

- Less time building the timetable: the system generates it in minutes once the data is loaded.
- No clashes between teachers, groups or rooms when a solution exists; if none does, it explains what prevents it.
- It checks availability, qualifications and hours per teacher before generating.
- Changes do not mean starting over: you can pin what is already decided and generate the rest again.

### What it checks and offers

- **Teacher qualifications.** Confirms each teacher is qualified for the courses they teach.
- **Workload.** Warns before generating if a teacher was assigned more hours than their contract.
- **Teacher proposals.** If you have not yet decided who teaches a course, the system suggests a teacher based on qualifications, contract hours and availability. You review and change each suggestion before it is saved.
- **Specialized spaces.** Assigns the right room type: classrooms, laboratories, workshops or computer rooms.
- **Several campuses and shifts.** Each campus keeps its data isolated from the others. The shifts of one campus share teachers and rooms without clashing.
- **Review before publishing.** Timetables are published only when the institution approves them, and each person sees only what their role allows.
- **Excel, PDF and Word.** Import your data from an Excel template and get timetables per teacher, per group and per room as PDF and as Word documents you can edit and print.
- **Constraint analysis.** When something cannot be placed, you see which rule prevents it and which blocks are involved.

### What Mantis does

- Places each class on a day, at a time and in a room, following the configured rules.
- Checks your data before generating and tells you what is missing or does not fit.
- Lets you adjust by hand, pin what is decided and validate every change.
- Publishes only approved timetables and produces them per teacher, group and room as PDF and Word.

## Frequently asked questions

### Can I try it before committing?

Yes. Request it with the form on this page, or by email, and we set up a demo campus for you, at no cost and available for 14 days. After that it becomes read-only; nothing is deleted. The trial uses sample data, not your institution's; to see it with your data, request an assessment.

### What do I need to get started?

The list of groups and the courses with their weekly hours, which teacher teaches each one (or let the system propose), each teacher's availability and your rooms. If something is missing, the system checks and tells you before generating.

### Can I edit the timetables in Word?

Yes. Besides the PDF, Mantis produces Word documents per group, teacher and room that you can edit and print. Each group's page has its subjects table with teacher and hours, the weekly grid and its room.

### How long does it take to generate a timetable?

Once the data is loaded, minutes. Gathering and entering the data is the part that takes time.

### What if no timetable is possible?

The system tells you. Before generating it checks availability, hours and rooms, and if something does not fit it tells you which rule prevents it.

### Can I adjust the timetable by hand?

Yes. You can move classes and pin the ones already decided; the system validates every change and explains conflicts.

### Does it work for universities?

Today it is designed for schools with fixed groups per semester. Per-student timetables are not part of the system yet; write to us and we will assess your case.

### How much does it cost?

We are still defining our pricing, so we quote each institution after a short assessment. The 14-day trial costs nothing. Write to us with the number of campuses, shifts and groups.

### What happens to our data?

Each institution sees only its own data and access is limited by role. The details are in the privacy notice.
